INFORMATION FOR WORKSHOP ORGANISERS

THANK YOU FOR BEING WILLING TO PARTNER WITH US IN THE ORGANISING OF A PRECEPT WORKSHOP. THE FOLLOWING ARE GUIDELINES TO HELP YOU IN THE PLANNING AND HOSTING OF A WORKSHOP.

FACILITIES
An adequate WORKSHOP VENUE must be chosen in order to conduct an effective workshop. Ideally the facilities should be available for the exclusive use of Precept Ministries if more than one workshop is planned for the area. This will help to avoid the packing away of the equipment at the end of each day and of setting up the equipment the next. It is also essential that the venue be in a quiet area, if possible. If the venue is not available for setting up the afternoon before, set up would need to be done by 8.00am the morning of the workshop as registration starts at 8.30am. Someone would need to be available to unlock the venue by 7.30am.

A SEPARATE room would be ideal for serving lunches and teas.

The BOOK TABLE should be situated in an area which is accessible during breaks. The bookshop display will require 4 to 6 trestle tables.

One or two REGISTRATION TABLES will be needed, depending on number of attendees.

CHECK that suitable FACILITIES and EQUIPMENT are available for use before confirming the booking:

  • Toilets
  • Tables & chairs - (set for lunch)
  • Tables and chairs - (for the workshop)
  • Kitchen facilities - (crockery, cutlery, stove / microwave, refrigerator)
  • Parking facilities
  • Access arrangements - (availability of keys if necessary)

SIZE – The classroom should be large enough to accommodate the number of expected trainees. A minimum of 15 people.

EQUIPMENT - Equipment used at workshops includes

  • White boards,
  • data projector,
  • screen,
  • sound system.

As the training team often travel with their own equipment please check with the Precept office whether you will be required to provide any of the necessary equipment,.

TABLES for workshop - individual tables are ideal but canteen tables also work well. These should be arranged in a classroom setting all facing the front of the room. The tables/desks need to be set up on the afternoon before the workshop.

TRAINER TABLE – the Trainer will need a table in the front of the room, facing the students with place for their laptop as well as work table for a note book (a lectern is an added blessing). The table needs to be set up on the afternoon before the workshop.

ASSISTANCE - The organiser is responsible to see that the rooms are arranged for the workshop the day before and will need to enlist helpers to assist with packing away on the last day. On vacating the premises the facilities must be left neat and tidy and correctly set out as it was on arrival.

REGISTRATION - One or two REGISTRATION TABLES should be set up half an hour before training commences, in an accessible place for students to register on arrival. A cup of coffee or tea is a good idea before the workshop begins.

ASSISTANCE - helpers are needed to assist with registration of the trainees and the selling of the resources on the book table. The trainer is not able to train and perform these admin duties.

EQUIPMENT - Supplied by Precept Ministries or Trainer

  • Media Release Forms
  • Cash float
  • Daily Receipt Form
  • Student material and files as required

CREDIT CARDS - Only Visa/Master Card payments are accepted. The following information is required, Name, Telephone number, Credit Card number, expiry date and last three digits on the back of the card (CVC Number). American Express and Diners Club cards are not accepted.

MEAL TIMES - Please confirm times with the trainer or their assistant each day.

  • LUNCH - Served between 13h00 – 14h00
  • TEAS - 10h30 - 11h00 and 15h30 – 16h00
